Privacy & Legal Stuff

We're straight up about how we handle your info. No hidden surprises here - just the facts about what we collect and why we need it.

Privacy Policy Overview

Look, we get it - nobody actually enjoys reading these things. But here's the deal: at Zephyron Empire Fitness, we're pretty serious about keeping your personal info locked down tight. We're not gonna sell your email to some random supplement company or spam you with nonsense.

This policy breaks down exactly what information we collect when you train with us, why we need it, and how we keep it safe. Whether you're signing up for membership, booking a coaching session, or just browsing our site, we want you to know what's happening with your data.

We follow all Canadian privacy laws (PIPEDA, if you wanna get technical about it) and take this stuff seriously. Your trust matters to us, plain and simple.

What Information We Actually Collect

Personal Info

When you join the Empire, we'll need some basics from you:

  • Name, email, phone number - pretty standard stuff for staying in touch
  • Address and billing info - gotta process those membership payments somehow
  • Emergency contact details - just in case you push yourself a bit too hard
  • Date of birth - mainly for age verification and program suitability
Health & Fitness Data

To keep you safe and help you crush your goals, we collect:

  • Medical history and any injuries we should know about
  • Fitness assessments and performance metrics - tracking your progress, basically
  • Workout history and training preferences
  • Nutritional info if you're working with our meal planning services
  • Photos and videos (only if you agree) for form checks and progress tracking
Technical Stuff

Our website automatically grabs some tech info:

  • IP address and browser type
  • Pages you visit and how long you hang around
  • Device info and operating system
  • Cookies and similar tracking tech (more on that below)

How We Use Your Data

We're not collecting this info just for kicks. Here's what we actually do with it:

Running the Gym

Managing memberships, scheduling sessions, processing payments, and keeping our facility running smoothly.

Your Training

Creating personalized programs, tracking your progress, adjusting workouts based on your goals and limitations.

Safety First

Making sure programs are safe for you, knowing who to call in emergencies, keeping everyone injury-free.

Communication

Sending class updates, schedule changes, special offers, and responding to your questions.

We'll also use your info to improve our services, analyze what's working (and what's not), and occasionally send you marketing stuff - but you can opt out of that anytime.

What we DON'T do: Sell your data to third parties, share it without permission, or use it for anything sketchy. Period.

How We Protect Your Information

We take security pretty damn seriously. Here's what we've got in place:

  • Encrypted Storage: All sensitive data is encrypted both when it's sitting on our servers and when it's being transmitted.
  • Secure Payment Processing: We use industry-standard payment processors - we never store your full credit card info on our systems.
  • Limited Access: Only authorized staff who actually need access to your info can see it. Everyone's trained on privacy protocols.
  • Regular Security Updates: Our systems are constantly updated and monitored for vulnerabilities.
  • Physical Security: Paper records are locked up tight, and our facility has security measures in place.
  • Data Backup: Regular backups ensure we don't lose your info, but they're just as secure as the originals.

Real talk: No system is 100% hack-proof. We do everything possible to keep your data secure, but if there's ever a breach, we'll let you know immediately and tell you exactly what happened and what we're doing about it.

Cookies & Tracking

Yeah, we use cookies - and not the delicious kind (though we've got some protein cookie recipes if you're interested). These are tiny files that help our website work better.

Types of Cookies We Use
Essential Cookies

These keep the site functioning - logging in, remembering your cart, that kind of thing. Can't really turn these off if you want the site to work.

Performance Cookies

Help us see which pages are popular, where people are getting stuck, and how to make the site better. All anonymous stuff.

Marketing Cookies

Track what you're interested in so we can show you relevant stuff. You can disable these in your browser settings if they bug you.

Most browsers let you control cookies through their settings. Just know that blocking certain cookies might make parts of our site a bit wonky.

Your Rights & Control

It's your data, and you've got rights. Here's what you can do:

Access Your Data

Request a copy of all the info we have on you. We'll send it over within 30 days.

Update Information

Changed your email or moved? Let us know and we'll update everything.

Delete Your Data

Want out? We'll delete your info (though we might need to keep some stuff for legal reasons).

Opt-Out Marketing

Unsubscribe from promotional emails anytime. You'll still get important account updates though.

Restrict Processing

Limit how we use certain data if you've got concerns about accuracy or legality.

Data Portability

Take your data to another gym if you want. We'll provide it in a usable format.

To exercise any of these rights, just shoot us an email at info@zephyronempire.info or stop by the front desk.

Terms of Service

Alright, here's the deal with using our facility and services. Read through this so we're all on the same page.

Acceptance of Terms

By walking through our doors or using our services, you're agreeing to these terms. If something here doesn't sit right with you, let's talk about it before you sign up.

Facility Use
  • You gotta be 16 or older to use the gym solo. Under 16? You'll need a parent or guardian with you.
  • Respect the equipment. If you break something through misuse, you're covering the repair costs.
  • Follow posted rules and staff instructions. They're there for everyone's safety.
  • Keep your membership card or check-in on file. We need to know who's in the facility.
  • Appropriate workout attire is required - no jeans, boots, or open-toed shoes on the training floor.
  • Clean up after yourself. Re-rack weights, wipe down equipment, toss your trash.
Code of Conduct
  • Be cool to everyone. Harassment, discrimination, or intimidation = immediate membership termination.
  • No drugs or alcohol on premises. Pretty straightforward.
  • Keep the language and music reasonable. There are other people training here.
  • Photography and videos require permission from everyone visible in the shot.
  • Don't hog equipment during busy times. Let people work in between sets.
Prohibited Activities

This stuff will get you kicked out fast:

  • Selling or soliciting anything without permission
  • Training clients or charging for services (unless you're authorized)
  • Stealing equipment, personal items, or anything else
  • Vandalism or intentional damage to property
  • Fighting or threatening behavior

Membership Terms & Billing

Payment & Billing
  • Memberships are billed monthly on the date you signed up unless you chose a different plan.
  • We'll charge the payment method on file automatically. Keep it updated to avoid interruptions.
  • Failed payments? We'll try again in 3 days. After that, your access gets suspended until it's sorted.
  • All sales are final. No refunds on monthly memberships, but you can cancel anytime for future months.
  • Personal training packages expire 6 months from purchase date. Use 'em or lose 'em.
Cancellation & Freezes
  • Cancel anytime with 30 days notice. Your membership stays active through that period.
  • Need to freeze your membership? You get 2 freeze periods per year (up to 30 days each) for medical or travel reasons.
  • Freezes require documentation (doctor's note, travel itinerary, etc.) and must be requested before your billing date.
  • Annual memberships can be cancelled with a buyout fee (pro-rated based on remaining months).
Membership Transfers

Moving away? We'll transfer your membership to another location if we've got a partnership, or help you find a gym that'll honor our rates. Can't transfer memberships to other people though - that's a security thing.

Price Changes: We might adjust membership rates occasionally, but you'll get 60 days notice before any increase hits your account.

Liability & Assumption of Risk

Let's be real - strength training and athletic conditioning come with inherent risks. Lifting heavy stuff can lead to injuries if done wrong. Here's what you're agreeing to:

Assumption of Risk

By training at Zephyron Empire, you acknowledge that:

  • Physical exercise involves risks including but not limited to muscle strains, sprains, fractures, cardiovascular events, and in extreme cases, more serious injury or death.
  • You're responsible for knowing your own limitations and communicating
